PRIVACY NOTICE

CONCERNING THE RECORDING OF CONVERSATIONS WHEN INTERESTED PERSONS CALL THE PPC AKROPOLIS VILNIUS, KLAIPĖDA AND ŠIAULIAI INFORMATION CENTRE TELEPHONE NUMBERS

This privacy notice applies to persons who consent to the recording of their conversation by calling the PPC AKROPOLIS Vilnius, Klaipėda or Šiauliai Information Centre telephone number that is publicly available.

Please note that if you call the PPC AKROPOLIS Vilnius, Klaipėda or Šiauliai Information Centre telephone number, you may not consent to your call being recorded. If you do not agree, the call will be disconnected before the recording starts. In this case, please contact the information centre of the relevant PPC AKROPOLIS:

  • Vilnius at Ozo g. 25, Vilnius;
  • Klaipėda at Taikos pr. 61, Klaipėda;
  • Šiauliai at Aido g. 8, Šiauliai.

2. Purposes and lawful condition for processing personal data on the basis of which your personal data will be processed

If you consent to the recording of the conversation, we will start recording the audio only after the PPC AKROPOLIS Information Centre consultant has responded, and we will process your personal data recorded in the course of the conversation in order to ensure the effective processing of the report or request, as well as the preservation of the evidence necessary to establish or investigate the events in question, if necessary.

Please be informed that the processing of your personal data for the above-mentioned purposes is carried out on the basis of your consent as the data subject (Article 6(1)(a) of the General Data Protection Regulation).

3. Personal data processed

We will process the personal data disclosed by you during the interview for the purposes set out in point 2 above:

  • Your voice and the content of the call;
  • telephone number,
  • date and time of the call, duration;
  • other information potentially provided at your choice, such as your name.

Please note that data providers undertake in all cases to provide only truthful, factual information. Before providing personal data of other persons, the data provider is responsible for informing that person of the provision of his/her personal data to the Data Controller for the purposes set out above and the processing of their data to the extent set out in this notice, and for obtaining their consent to such provision and processing.

4. Provision of your personal data

The Data Controller may transfer your personal data to third parties, but only to authorised persons committed to confidentiality:

  • to the police, law enforcement authorities, other state or municipal authorities (if provided for in the relevant legislation or necessary for the performance of the functions assigned to these authorities) or to other persons exercising the official powers assigned to them;
  • to other third parties concerned – at their reasonable request or by decision of the company, subject to the lawful basis for such a transfer, including to the owner of the respective PPC AKROPOLIS, e.g. y. OZO TURTAS, UAB, code 301744866; TAIKOS TURTAS, UAB, code 301744873; or AIDO TURTAS, UAB, code 301744834;
  • EUROCASH1, UAB, provider of security services for PPC AKROPOLIS, code 225329030;
  • Microsoft Corporation, code 600 413 485;
  • to courts, arbitrators, mediators, opposing parties and/or their representatives, including lawyers (if necessary for the purposes of the court, arbitration, mediation process);
  • to insurance companies, other professional advisors, e.g, other natural and/or legal persons where it is related to and necessary for organizational changes of the Company (e.g. in case of a merger or acquisition of the Company, etc.);
  • as well as to processors engaged by the Company (to the extent necessary to perform the relevant data processing functions on behalf of the Company).

Please be advised that the provision of call recordings outside of the European Economic Area is generally not envisaged and will not normally occur, except to the extent that the transfer of personal data may be necessary in connection with the use of Microsoft’s suite of software applications, including cloud computing and hosting services.

5. Duration of storage of your personal data

If you consent to the recording of the conversation, the personal data disclosed by you during the conversation will be processed and stored by the Data Controller for a maximum of 14 days. Longer retention of your personal data may only apply where necessary for the investigation of a specific incident, such as a criminal offence. In this case, the data will be kept until the end of the complaint or the relevant investigation or proceedings.

6. Your rights and how to exercise them

You, as a data subject, have the right to contact the Data Controller on any matter relating to the processing of your personal data, including:

  • to obtain information about the processing of your data;
  • to request access to your data recorded in an audio recording;
  • to request the erasure of your data in an audio recording or the restriction of its processing, where personal data are processed in breach of the requirements of the legislation or on other legal grounds;
  • to request the rectification of incorrect, inaccurate or incomplete data;

  • to withdraw your consent at any time without affecting the lawfulness of the processing based on your consent until its withdrawal;
  • to request the transfer of your personal data to another controller or to have it provided directly to you in a durable form (only for personal data provided by you and processed by us on the basis of your consent through automated means).

If you wish to exercise your rights or have any other questions regarding the processing of audio-recorded data, please contact privatumas@akropolis.lt or send a registered letter to the Controller’s registration address. When making a request, please properly identify the person making the request and the nature and circumstances of the query. We will respond to your request as soon as possible, but no later than within 1 month, with the possibility of a 2 month extension depending on the complexity and number of requests.

If you believe that your personal data is being processed unlawfully or that your rights are being violated, you have the right to contact the State Data Protection Inspectorate and lodge a complaint (for more information see www.ada.lt/).
